POSITION SUMMARY
 Assists the Executive Director in the administrative operations of the Digital Media Institute

ESSENTIAL FUNCTIONS
Responsibilities include but not limited to:
  • ·         Demonstrate basic office skills such as answering phone calls, using and maintaining office equipment, dictating meeting      minutes, sending and distributing courier and USPS mail, ordering office supplies.
    ·         Organize and book travel arrangements for DMI Executive Director.
    ·         Assists Operations Coordinator and administrative and instructional staff, as needed.
    ·         Enter invoices into accounting software, as well as submit and reconcile expense reports to Accounting department.
    ·         Maintain calendars for Executive Director and DMI school.
    ·         Draft internal and external correspondences and memo.
    ·         Purchase marketing items.
    ·         Assist with Marketing tasks, traditional and digital.
    ·         Assist with admissions process.
    ·         Organize and schedule student pre-meetings and appointments.
    ·         Support teaching staff by keeping track of placement; schedule instructor, student and parent meeting, etc.
    ·         Occasional local travel and after hours and weekend event support required.
MINIMUM QUALIFICATIONS AND EDUCATION REQUIREMENTS
High School diploma. College degree preferred. Prior experience in a School Administration environment highly preferred. Strong computer skills are required. Must be able to keep sensitive information confidential.
 
REQUIRED KNOWLEDGE SKILLS AND ABILITIES
This is a key position to the school. The Executive Director, Staff and Instructors depend on strength in this position. The Administrative Assistant makes sure that everyone has everything they need while also handling the day-to-day duties of the position. It is extremely important for the candidate to always think several steps ahead to make the right decisions. Able to communicate effectively verbally and in writing. Able to listen effectively and clarify information. Able to manage time effectively and handle multiple projects constantly while prioritizing. Able to pay attention to detail. Able to work with confidential information appropriately, professionally, and discretely.
